Privacy Policy
The protection of personal information is an integral part of the activities of Sageplan Finance (“the company”). Protecting personal information is important to us, and this policy describes how we collect and manage personal information in order to protect the privacy of our clients, contractors, and employees.
What is personal information?
“Personal information” means any factual or subjective information about an identifiable individual. Personal information may be collected about various people with whom our company does business.
Personal information may be collected in various forms, including in writing (such as correspondence and memoranda), as well as through electronic communications and documents, video or audio recordings, and photographs.
Examples of personal information include information about a person’s name, age, sex, health, personal characteristics, or personal and financial situation. Personal information may also include identification numbers (such as SIN or employee numbers), banking and income information, employment records, credit records, and medical information.
Personal information does not include the name, title, business address, telephone number, or email address of an organization’s employees.
At Sageplan Finance, we comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), a Canadian federal privacy law.
Accountability – My company is responsible for the personal information I receive from my clients, and I comply with the principles of PIPEDA regarding the protection of such information in both paper and electronic records. My employees, if any, also understand and comply with these rules.
Purpose of collection and limits on collection, use, disclosure, and retention of information – Personal information, business information, financial information, and related information are collected and retained only for the purpose of providing advice and ensuring that the products or services you purchase through me are delivered to you promptly and properly. In order to obtain products for you, I must disclose your personal information to insurers through brokerage firms. I only collect and keep information that helps me formulate advice, including personal, financial, and health information.
Consent – Because of the nature of my work, my staff and I must collect and retain a great deal of personal information about my clients, including health data, financial data, and identity verification information. I use this information to understand your financial needs and to suggest solutions to any potential problems. By becoming my client and signing this form, you agree to provide me with this information and to allow me to disclose it to the companies from which you choose to purchase financial products, as well as the relevant intermediary brokerage firms. You authorize me to retain your information in paper or electronic form for as long as you wish me to be your advisor, or for as long as it is legally or commercially necessary to keep it. You also authorize me to disclose your information to customer relationship management software providers and financial analysis software providers, solely for the purpose of managing, organizing, and analyzing your data in order to provide you with better service and solutions. If I should retire, die, or be unable to perform my duties, you authorize me to transfer your information to another agent or agency to continue meeting your needs. However, you would have the right to choose another agent if you wish.
Accuracy of information – I need accurate information in order to make appropriate recommendations. You may review the information I hold about you upon request. I may also update this information regularly to ensure my recommendations are based on accurate information.
Safeguards – Written information I receive from you is kept in secure filing cabinets or password-protected computer files. Computer files stored offsite are encrypted or locked. Old discarded files are shredded or completely destroyed. My staff understands the sensitive nature of this information and the importance of protecting it.
Questions, concerns, and access – You may contact me at any time by telephone, email, or postal mail at the address on this page regarding the records about you in my possession and to request changes. You may consult PIPEDA online at: http://laws-lois.justice.gc.ca/eng/acts/P-8.6/FullText.html. If you have complaints about the procedures I use, I will investigate and respond as soon as possible.
